Hotel Grand Chancellor Christchurch Conference Facilities

In August I had the pleasure of working with Hotel Grand Chancellor Christchurch Conference staff for the AAPNZ Annual Conference held here in Christchurch.

The feedback from delegates was fantastic, the hotel staff were on hand, were approachable and provided excellent catering, accommodation and conference rooms for the entire conference and gala dinner.

You couldn't ask for more from a venue, so consider Hotel Grand Chancellor Christchurch next time you start organising a conference, they know exactly what to do. Check out their website here.

Stress Balance
There's no magic bullet for eliminating stress. In other words, you can't live without it. On the other hand, you can't live very comfortably when it's your constant companion. The key to dealing with stress is learning to live life in the middle - to acquire the habits of moderating stress. People who find a balance in their lives - who utilize their time for work, family, and personal needs - have less stress, are more at ease, eat and sleep better, and enjoy greater rewards in their interpersonal lives. Effective stress management requires that you establish boundaries between the different arenas of your life: Personal, work, family, and goals. Here are some ideas for keeping the stress of work from infiltrating and contaminating other parts of your life. Read more here.

I have to confess that I am a sign-up-here junkie. I received an email from a current online provider regarding a new service and didn't really want to read everything about it and got stuck in and signed up. What was the harm when I could simply un-sign-up if I didn't think it was beneficial. Well, I have to say it's a fantastic tool. I receive timely emails (I have set them for twice per day) of all the goings-on in some of my social networks. I no longer have to trawl through every piece of information to find the important bits as its now emailed to me in an easily read format. Visit www.nutshellmail.com.

Merry Christmas ...
From the team at AdminCorp we would like to take the opportunity to thank every one of you for your valued support throughout the year. Have a very Merry Christmas and enjoy the holiday season while its here. Make the most of it as it only comes around once a year. Debra (Canterbury), Tara (Auckland), Kate (Christchurch) and Carole (Ashburton).

Christmas Tips from Kate
During the holidays you will be catching up with people you haven’t seen all year, so be armed with business cards and any promotional material / gifts to use as tempters for any new year business.

When you use your action list / to do list. Once you have completed a task always cross it off with a highlighter. The reason for this is at the end of the day, you get a self satisfaction from the tasks that have been highlighted. Tasks that have not been highlighted need to be re-written onto a new action list and start the day. It is always a good idea to spent 5-10 minutes at the end of the day completing your action list as you will go home with a clear head. Place a whiteboard or butchers paper at the back of your door. When you go into meetings, just before you leave your office, write anything that is on your mind on the whiteboard. This ensures you are going into the meeting with a clear head and able to have a more productive meeting.

Some Website Don'ts
If you don't have time to work out what is right for your website or don't have the budget right now, get stuck in and fix what you shouldn't do. Sometimes it's much quicker to get the 'do nots' sorted first. Here are some tips from Mark Holloway, you can get more great information and tips on marketing direct from Mark's website www.holloways.co.nz.

1. DON’T! Use fancy animation – balls bouncing, logos spinning. It’s a proven fact that animation frustrates people on sites. They’ve taken the time to visit, now give them what they want – information! Get to the point!

2. DON’T! Use white type on black backgrounds (or dark backgrounds for that matter) except in the rarest occasions. Sure it looks nice, but it is MUCH HARDER TO READ! Yes sorry, that’s a scientific, researched and proven fact. So don’t do it, unless you don’t want people reading.

3. BUT DON’T! Ever send an email to someone without asking their permission first. I don’t give a damn about it being the law – more to the point is that it’s just common human decency – and Helen and John need to realise you can’t legislate that! It’s called SPAM because it arrives uninvited.

4. DON’T! Make the mistake of copying the websites that people tell you look cool! The sites your kids or your staff tell you “I really like the look of this one”. Instead ask them which sites they VISIT the most. Trademe, MSN, Google, NZ Herald, Stuff.co.nz are all very popular with your kids, your staff and your customers. If you want their success, copy them!

5. DON’T! Forget to use videos. The number of people who open videos on sites is much lower than those who click on stories. So why bother? Because the number is increasing. And better still Holloways have discovered that the few who do open your videos are MUCH MORE LIKELY to respond to any offer you include in them.

6. DON’T! Forget to keep changing your website. Google’s ‘spiders’ are always crawling over your front page to see if it’s changing. If you don’t change it at least every two months then google will rank it of lower interest. And of course people who come back to your site will get bored if it never changes.

7. DON’T! Make the mistake of relying only on google to get people to visit your site. It’s easy to attract big numbers of the wrong kinds of people. To get the right people (the ones most likely to buy from you) to visit you need to approach them. The best way is to send them an email that’s very interesting and with even more interesting links to your site.

8. DON’T! Ignore the need for headlines. Your website should have lots of headlines. Make them interesting and to the point. And then make sure you put stories underneath them. A headline without a story underneath is NOT a headline, it’s just a slogan and won’t get read nearly as much.

9. DON’T! Forget to test and change and record the results of different headlines. If you have a decent website provider you’ll be able to measure which headlines get the most clicks. If visitors keep clicking on a particular headline, then it’s a goodie!

10. DON’T! Make the mistake of breaking your information down into bullet points. People want to read whole sentences and paragraphs. The more your site looks like a newspaper or magazine the better it tends to work. Have a look at MSN and NZ Herald. The more your site looks like that the more return visits it’ll get. Or isn’t your product or service very newsworthy? Go figure.

11. DON’T! Run the line length of your copy to the full width of the page. Instead divide your copy up into columns. Newspapers and magazines use columns because tests keep showing that if the line length is too wide the eye wanders down (or up which is even worse) to the next line. It’s no different on the digital page. That’s why we’ve divided this email into two columns.

Efficient Vs Effective
Peter Drucker highlighted the vital distinction between ‘efficient’ and ‘effective’. Performing an activity swiftly and economically is efficient, while being effective is dependent on doing the right thing.
As an administrator being efficient has been our buzz word for many years now, especially with the onset of the 1990s when we all ended up doing 3 jobs instead of one.
So what will our new buzz word bring us?.. Click here to have your say on our forums. Timothy Ferris also discusses being effective in his book 'The 4 Hour Week'.

Being Productive & Effective
Each newsletter we bring a review of an application or a process that will provide more effectiveness and productivity within your business.

This is where AdminCorp review applications that we may use or offer to our clients. You can type in an application name and see what it brings up and also search by different tag words on the left to see what options are available. Click here to see for yourself. We have found this a great tool for finding more options. We always do a google search on various words to see what else might pop up too. The internet is ever-changing and within a day you may find new options available.
Reviewed
Earlier this year I purchased an iPhone. This was a big step for me as I absolutely loved the Okta Touch that I had previously. When I first received the phone I thought the look and feel was fantastic. Great size, awesome screen, fits in your hand easily. Within a few days I was feeling that I was so much better off. At first I thought it may be more of a luxury than a business tool but I was mistaken. I'm now so totally in tune with my iPhone that I panicked when I couldn't get it to turn on. Which by the way is easily fixed. I find it very intuitive and smart that it's in the realm of my best friend.

AdminCorp's Debra Clark wins the AAPNZ National Administrative Professional of the Year Award
The 2009 Administrative Professional of the year has been awarded to Debra Clark. On Saturday 9th August Debra won the 2009 Administrative Professional of the Year Award for the Association of Administrative Professionals New Zealand (AAPNZ). This year the competition was strong with finalists from senior roles and all from the South Island. AdminCorp was developed in 2003 by Debra and focused on providing corporate level Administrative services through a virtual environment to small and medium businesses nationally and internationally. In simple terms instead of your executive personal assistant sitting outside your office door incurring onsite costs, an AdminCorp Licensee is sitting in their virtual office providing a more productive and effective quality service. We were looking for an easier way for our clients to make appointments with us and we found it. Tungle is an online application that synchronises with your existing calendar to show busy and available times to the public or those you choose. We were a bit worried that the public could see our entire diary but that was not so. We loved being able to offer various suggested times and once all responses were received Tungle automatically issued the confirmed appointment.
